Job Description -- HR Assistant
POSITION SUMMARY:

Maintains direct and/or phone contact with clients, office and field research and employees and is responsible for ensuring smooth collection, maintenance and input of data. Is directly responsible for establishing, developing and maintaining good relationships with both clients and employees. Performs various clerical duties as necessary.

RESPONSIBILITIES:

1. Reception Relief

2. Primarily responsible for administrative support and data input.

3. Recuitment

A. Receiving resumes, conducting Phone interview, schedule and conducting face to face interviews
B. Creating Interview packages and setup all required forms to be completed updating their file requirements, and updating procura
C. New employee packages-Ensure that all required forms and policies are completed and signed
D.
E. Conducting reference check for employees
F. Office Recruitment :for client service coordinator position
G. Updating and maintain Recruitment filing and forms cabinet
H. Employee photo IDs
I. Setting new employees mailbox and updating and managing mailbox
J. Setting employee pin number for payroll purpose
K. Monitoring service requirements expiration and managing it by coordinating with employees for updated service requirements (TB skin, CPR, vulnerable screening..)


4. Data input- very strong Excel spread sheet skills creating and maintaining databases

5. Minute taking of meetings

6. Accepting and entering new applicants in system

7. Filing- maintaining and updating necessary paperwork needed for file

8. Preparing mail outs

9. Performs general office/clerical duties as directed by Senior Management personnel.

10. Preparing booklets for education sessions and making ID name badges

11. Conduct interviews for field staff

12. Monitoring and assigning voicemail boxes

13. Booking appointments and sessions

a. Appraisals
b. Education sessions on-site and off -site locations
c. Keeping track of sign-in sheets

14. Tracking and updating due dates for employee requirements i.e.
a. Certificates
b. Medical tests
c. Mandatory education sessions

15. Updating Resume statistics and Procura

16. Developing and maintain statistics and database for New hires(Office, RPNs and PSWs) according to Area and Coordinators

17. Covering receptionist for her lunch break and when required

18. Updating database for ongoing employee appreciation, complimentary and disciplinary letters and supporting documents

ELIGIBILITY CRITERIA:

1. Proficiency in the use of personal computer operations in a windows environment, utilizing Word, Excel, Procura and Microsoft Office software with the ability to maintain necessary statistics and files.

2. Basic analytical ability required gathering and interpreting data, maintaining semi-complex records, assessing staffing needs, maintaining statistical information, etc.

3. Interpersonal skills necessary in order to exchange information on most factual matters for up to eighty percent of the work time with personnel, clients, and visitors, as well as project a positive image of Regional Nursing Services during such interactions.

4. Ability to concentrate and pay close attention to detail for up to eighty percent of work when performing daily duties.

WORKING CONDITIONS:

Well-equipped office area with some distraction due to normal office noise and traffic patterns.

REPORTING RELATIONSHIPS:

Reports directly to designated departmental Senior Management.
