JOB TITLE: Intermediary Services Administrator (6-Month Contract)
Start Date: January 3, 2012 -- End Date: June 29, 2012
DEPARTMENT: BBD Client Management
REPORTS TO: Senior Director, BBD Client Management
JOB PURPOSE To accurately and efficiently support the Intermediary Services team.
KEY JOB FUNCTIONS
Daily sends out the revolving record date report internally and externally.
Daily sorts and files Omnibus reports.
Receives from Process Control vote rejects that require verification or authorization from clients. Communicates this information to clients and follows up for a response.
Completes all broker initiated mailings as they occur, maintains a job tracking spreadsheet. The average number of jobs per month is 34.
At the request of the client, completes account adjustments, adds, deletes or changes to account records or managed accounts.
Maintains monthly statistics for Quality Assurance.
Assists Account Manager as required.
Filing of various reports.
Assists with special projects.
May be asked to assist Process Control in sorting and batching of incoming mail. May be required to perform data entry on votes.
Overtime is required during the proxy season (March -- May) and whenever required based on processing volumes.
Other duties as assigned.
QUALIFICATIONS
Education: High School Diploma or equivalent. Community College Diploma in Business Administration is an asset.
Tools: Windows environment. All necessary advanced technological tools are provided.
Exposure to database systems is an asset. Proxy Plus and MUSIC -- Broadridge systems.
Yrs. of Experience: Experience in an Administration/Data Entry Operations role.
Experience using Microsoft Word and Excel. Exposure to a database system is an asset. Strong data entry skills on keypad (minimum 50/60 keystrokes per minute). The majority of the inputting is numeric in combination with alpha entry. Exposure to a detail-oriented environment. Demonstrated ability to audit documents; determine appropriate alterations, and excellent proofreading skills are key. Previous Client Service and financial industry experience is an asset.
Communication Skills: Strong written and verbal skills. Ability to work in a cross-functional environment.
