JOB SUMMARY:
Leisureworld Caregiving Centre – Mississauga is home to 237 residents and currently has an opening for a Permanent Full-Time Unit Scheduling Coordinator. The initial assignment is 75 hours bi-weekly, subject to change based on the operational needs or under the discretion of the manager.
As a valued member of the team, the Unit Scheduling Coordinator demonstrates a commitment to resident safety by providing quality care in accordance with organization’s vision and mission.
RESPONSIBILITIES (But not limited to):
• Responsible for ensuring staff schedules are completed for all departments by facilitating availability process, creating master schedules, collaborate with managers on time off requests, schedule employees returning from LOAs, utilizes call-in process to find replacements for sick/emergency call ins etc in accordance with the prescribed process.
• Verifies schedules and assign shifts on a daily basis by managing calls from employees, recording reasons for no shows, or decline of shifts, liaising with management on areas of concern.
• Manage Time and Attendance System to ensure accurate and timely payroll output
• Maintain the accuracy of vacation, sick and statutory holiday leaves, including ensuring the employee has sufficient hours for the requested leave.
• Facilitates timesheet edits/adjustments as needed.
• Prepares daily work assignments for nursing staff under the direction of the DOC and Associate Director of Care (ADOC).
• Participates in the documentation process for clients during admission and the tenure of their stay and prepares new admission charts.
• Prepares and assembles documentation of resident discharge, including filing using the home’s established coding system.
• Tracks Resident Leave of Absences and does daily census.
• Orders, conducts inventory, prepares invoices and delivers medical supplies and High Intensity Needs in the supervision of the Director of Care.
• Assists with quality assurance activities as directed by the Director of Care
• Ensures that resident charts are maintained according to policy.
• Type correspondence as directed by Nursing Administration, as well as photocopying/faxing as required.
• Other duties as assigned.
QUALIFICATIONS:
• Minimum of three (3) years of experience in scheduling. Long-term care experience preferred
• Proficiency with Microsoft Word, Outlook and Excel.
• Demonstrated effective administration/computer skills.
• Excellent organizational skills, attention to detail, the ability to manage multiple priorities/tasks effectively to meet deadlines.
• Ability to deal with confidential matters.
• Strong communication, interpersonal and listening skills for effective customer service.
• Diplomatic, detail-oriented and flexible with various work assignments
• Ability to work independently with minimal direction and as part of a team.
• Sound knowledge/understanding of collective agreements is required.
• Must have effective verbal and written English communication skills.
EDUCATION:
• Diploma in Medical Office Administration, business management or equivalent education.
