Job Description
The reception/assistant (RA) is primarily responsible for waiting room atmosphere, internal patient flow, patient attendance, clinic communication, paper and electronic file management, data entry, and creating a work environment that motivates staff to be more productive, customer service aware, and sales oriented.
Job Duties and Responsibilities
• Responsible customer intake and customer flow in the common waiting area.
• Meet, greet, and create friendly and informative atmosphere for patients.
• Enter services, billings, and payments into company billing software (Colligo).
• Appointment book management for multi disciplinary clinic environment.
• Responsible for all recall management from attendance reports.
• Assist ACM in any administrative overflow of insurance claim process.
• Work with clinic volunteers on written correspondence (medical reports to MDs & thank you cards to patients).
• Manage electronic correspondence initiatives that relate to announcements or information to patients regarding Physiomed products, promotions, or services.
• Paper management, filing, organization of daily office process to assist clinic director and staff.
• Ensuring patient database, paper or electronic, is always current with respect to demographics, accounting, and relations.
• Ensure phones are answered and messages are returned in a timely fashion.
• Process and batch, point of sale payments (VISA, MC, AMEX, debit).
• Daily reconciliation of all payments to company billing system (Colligo).
• Promote NP initiatives and facilitate upsell process to existing clients.
Key Relationships and Purpose
Internal:
• Clinic Director -- Daily morning meetings to determine any immediate priorities that need attention above and beyond regular daily process.
• Clinic Staff -- Coordinate patient flow to the appropriate clinicians.
• Existing Patient -- Ensure cordial, polite, engaging interaction. Integral part of the Physiomed experience while patients are waiting for the appropriate caregiver to assume responsibility.
External:
• New Patients -- Participate in new patient program drives like family patient add-ons.
• Vendors -- Liaise with CDs on any vendor matters.
Minimum Qualifications
• Post secondary education in business administration or equivalent work experience.
• Minimum 2-years experience working in a reception/admin role for a chiropractic or physiotherapy clinic.
• Excellent interpersonal, oral, and written communication skills.
• Excellent working knowledge of various computer software programs including Microsoft Office.
• Ability to learn and master Physiomed's internal software billing system.
• Proven track record of meeting objectives and organization.

• Must have an outgoing and friendly personality.
• Must be able to effectively interact with a team of professionals in the delivery of care.
• Ability to manage time and set priorities on a daily or weekly basis to ensure efficient operations.
• Ability to multi-task, meet deadlines and problem solve in a busy environment.
• Must be able to seek opportunities for continuous improvement.
• Ability to make accurate, sound decisions and approach problems in an organized and logical fashion.
• Fosters a desire to learn, improve, and innovate.
• Able to set and achieve targets and goals around new patient initiatives.
