The Client Care Specialist
Job Summary:
The Client Care Specialists are responsible for the day-to-day scheduling and coordinating of front line employees and related follow-up regarding client and employee activities. This includes clients from all referral sources, e.g., CCAC, long-term care homes, hospitals and private clients.
AREAS OF RESPONSIBILITY
• Ensures that all telephone calls are answered and all inquiries are processed accurately and in a timely and professional manner.
• Performs comprehensive intake function and consult with the Nurse Manager to identify an appropriate worker for the client.
• Schedules service for clients.
• Accountable for minimal, subcontracted staffing in long-term care homes.
• Assimilates new hires into the work schedule immediately after the completion of worker orientation.
• Communicates to ensure accurate transfer of information regarding client service, (authorized hours, time and day of service, names of workers providing service, service cancellation/suspension, etc.) to clients and all purchasers of service.
• Maintains worker’s schedules and availability.
• Accountable for timely completion of work to meet billing and payroll predetermined timelines.
• Refers workers to the Nurse Manager for supervision and problem solving.
• Maintains client and worker data base system on GoldCare scheduling system in an up-to-date manner.
• Reconciles to schedule, worker timesheets and/or voice mail messages for payroll and billing when Telephony is not available to the workers, according to predetermined timelines.
• Responds appropriately to unexpected situations in the absence of the Office Manager under the direction of the Nurse Manager on-call.
• If responsible for scheduling foot care services, works in partnership with the Foot Care Supervisor to mange worksheet submission from the foot care team.
• Other duties as required.
QUALIFICATIONS
• Secondary School Diploma required; College education in a health related field preferred.
• Relevant scheduling experience, in particular, scheduling for CCAC services is preferred.
• Knowledge and experience with a Windows environment, Microsoft Office and other scheduling programs preferred.
• Customer service background preferred.
• Excellent telephone manner and communication skills.
• Must have effective verbal and written English communication skills.
Hours of Operation:
Monday – Friday: 6:00 p.m – 10:00 p.m (2-3 days a week)
Saturday & Sunday: 8:30 a.m – 4:30 p.m (whole or half day shifts)
