Administrative Assistant (Toronto Downtown)

Administrative Assistant Permanent, Full Time and permanent working with Large Financial Professional Firm.
This is a position that requires a real ability to meet deadlines and multitask as is is a job that has time pressures
• Receive, acknowledge and distribute all Canada Post letter mail and couriers on behalf of the department.
• Monitor the firm administrative directory throughout the day to receive, acknowledge, distribute and save to all incoming electronic correspondence.
• Create name and address card files for new contacts in the Shared Contacts and notify the Marketing department of new contacts.
• Create cover letters for all materials sent to the firm for filing.
• Facilitate updates to client information in various databases.
• Prepare, scan and save weekly and monthly reports for the department.
• Provide overflow support and coverage to the Filing Clerk.
QUALIFICATIONS:
• Minimum 1 year previous experience in a support role, preferably within a professional services firm.
• Ability to work under time pressures with exceptional attention to detail.
• Excellent organizational and time management skills.
• Strong computer skill with an ability to understand and grasp new technology.
• Ability to work well independently and collaboratively within a team environment.
• Excellent interpersonal and oral skills.
