Position: Administrative Assistant
Group Assistant for: Financial Services and Public Affairs Groups
Location: Toronto, ON
Responsibilities:
• Receive and send courier packages.
• Receive, sort and distribute external mail.
• Finance/accounting re: invoice coding, distribution and submission of AP reports, vendor invoicing, vendor queries, client billing queries, admin-related Purchase Orders, and expenses
• Support for group projects i.e., mail outs, ordering of internal and client catering, set up for client meetings, travel arrangements, etc.
• Phone, computer and office equipment troubleshooting, back up tape contact
• Setting up of work stations for new employees
• New project code requests
• Magazine subscriptions
• Back up to: Office Manager, IT, Reception, petty cash
• Worksheet distribution and coordination of submission
• Office supply tracking and ordering
• Client reconciliations (Budget Control Reports for FIC)
• Scheduling meetings
• Training Coordinator
• Assist consultants around this office with faxing, photocopying, scanning, printing, binding, filing and packaging of promotional materials.
Qualifications:
• Pleasant phone mannerisms and outgoing personality.
• Good communication skills, quick learner, and enjoys a fast-paced environment.
• Solid skills in Microsoft Word, Excel, PowerPoint and Outlook.
• Strong written and verbal skills.
• Able to adapt to changing priorities and deadlines.
• Possess strong problem-solving ability, attention to detail, and a well-defined work ethic.
• Exceptional time management skills.
• Excellent team player, able to ask questions and get the job done.
• Comfortable and proficient with current software.
• Has a basic understanding of Accounting.
