Position Title: I&T Project Coordinator

Description of Assignment/Scope of Work
The I&T Project and Resource Management Office is newly created in the I&T Division in this Government sector.
The department is currently managing a few strategically critical, high priority telecommunications projects that will need the focused attention of a project manager capable of expeditiously addressing issues that may arise during the execution of this initiative. As such, a project coordinator is needed to provide the following:
• Responsible for organizing and facilitating the work of the Telco/Network projects, under the direction of the project manager.
• Working under the project manager, the I&T Project Coordinator updates and reviews actual progress to plan and coordinates work efforts aimed at the production of the work products and deliverables.
• The I&T Project Coordinator also plays a role in communicating the “state” of the project to the project manager, tracking and communicating issues, risks, and coordinating the scheduling of project meetings and preparing meeting minutes.
• Assist in budget tracking of planned vs. actual results.
• Facilitates the communication of issues, risks and project status.
• Works with members of the project team to track project progress and prepare project status reports for the project manager.
• Updates and maintains the project schedule, change control log, risk log, and issues log.
• Prepares meeting minutes and status reports.
• Schedules regular as well as ad-hoc project meetings as required.
Assignment Duties:
The Telco/Network Project Coordinator is responsible for the following:
• Working with the project managers, organizing and facilitating the work of the Telco/Network project.
• Implements detailed plans.
• Facilitates the day-to-day operation of all assigned project staff including scheduling and review of work on the project.
• Updates the project budget.
• Applies corporate standards for Information Technology, including formalized project management and methodology.
• Supports the development of the project charter, project plan and schedule, progress, budget, risk management, issue management change management resource management and quality review/best practices.
• Updating and reviewing actual progress to plan and coordinates work efforts aimed at the production of the work products and deliverables.
• Creating status update reports and following up on project schedule progress with project team members.
• Tracking and communicating issues, risks, and coordinating the scheduling of project meetings and preparing meeting minutes.
• Assisting in budget tracking of planned vs. actual results.
• Facilitating the communication of issues, risks and project status.
• Working with members of the project team to track project progress and prepare project status reports for the project manager.
• Updating and maintaining the project schedule, change control log, risk log, and issues log.
• Preparing meeting minutes and status reports.
• Scheduling regular as well as ad-hoc project meetings.
Qualifications:
1) Project management experience in all stages of complex information management projects with emphasis on IT Infrastructure, telephony, VOIP, telecommunications systems, enterprise data networks, estimating resources, critical path identification in a large, diverse computing environment.
2) Demonstrated experience in and knowledge of current project management tools and techniques for information technology project.
3) Demonstrated experience working with project teams from Information & Technology as well as the government.
4) Demonstrated ability to coordinate and follow-up on the work of teams of resources consisting of finance and government business stakeholders, information & technology stakeholders, and contract resources.
5) Experience generating reports and reporting work assignment progress against budget and assessing performance on a project basis.
6) Demonstrated ability to prepare project documents (e.g. business case, detailed budgets, charters, logs, plans, schedules, etc.)
7) Demonstrated ability to utilize project management tools and methodologies for information systems implementation projects.
8) Demonstrated ability to establish and maintain effective relationships with corporate clients, vendors, and team members: strong customer service orientation.
9) Proven ability to communicate effectively both verbally and in writing.
10) Excellent problem solving, leadership, facilitation, interpersonal and communication skills.
11) Ability to work effectively as a team member and to work collaboratively with others in a multidisciplinary team.
12) Minimum of five years of project management experience in information technology (IT) systems development and/or (IT) systems implementation projects.
13) Broad knowledge and experience of various aspects of information and technology coupled with business and operational knowledge and expertise.
14) Minimum 10 years Project Management and Consulting expertise.
15) Excellent management consulting skills and experience to advise, guide, facilitate and produce quality deliverables.
16) Strong report writing and presentation skills.
17) Superior teamwork, interpersonal and organizational skills.
18) Knowledge of Municipal Government work environment is highly desirable.
19) Previous experience with telephony and/or data networking projects (telephony, VOIP, telecommunications monitoring systems, Cisco networking within a LAN/MAN/WAN) or other ERP projects is desirable.
20) Excellent facilitation skills.
21) Practical experience and working knowledge of MS Project
Deliverables:
• Assist in the development of project deliverables (scope management plan, work breakdown structure, project schedule, budget, issue management process, risk management plan, etc.).
• Planning and organizing of project team meetings as well as meetings with key project stakeholders.
• Presentations (i.e. kickoff presentations, project schedule walkthroughs, project status and project health reports, etc.).
• Periodic updates and communication/presentation of risk log, issues log, change log, etc.
• Regular meeting minutes.
• Updating project repository with current versions of project documents and deliverables.
• Develop and deliver training workshops to IT business case users to explain the mechanics of the improved business case development, support, submission and evaluation processes.
• Periodic project key performance indicator reports.
