Executive Assistant- OntarioMD Inc. (Yorkville)

To provide administrative support to the VP, Product Management & Strategic Relationships; project coordination support to the Project Manager within the Product Management & Strategic Relationships team; coordinate external meetings with strategic partners; and execute basic research projects.
Key Responsibilities:
Administrative Support
„Q Provide administrative and organizational support to the VP, Product Management & Strategic Relationships, including screening calls, delegating and answering calls and emails, scheduling all appointments and meetings, managing the inflow and distribution of the VP¡¦s mail, faxes, etc, and filing;
„Q Manage meeting logistics, including venues, equipment, catering and teleconferencing, as required;
„Q Prepare meeting materials, agendas and meeting minutes;
„Q Proofread and/or edit status reports for OntarioMD Management, OntarioMD¡¦s CEO, eHealth Ontario and other stakeholders;
„Q Prepare correspondence and Powerpoint presentations;
„Q Prepare expense reports;
Project Coordination
„Q Assist the Project Manager and the VP in coordinating the integrated project plan for the department;
„Q Follow up with project teams on project status and update documentation accordingly;
„Q Coordinate the VP¡¦s projects, action items and deliverables to ensure timely completion;
Research Projects
„Q Conduct environmental scans as requested by the VP;
„Q Monitor and retrieve relevant research reports which will inform the OntarioMD Product Strategy;
„Q Synthesize and summarize findings from research reports to brief the VP.
Knowledge & Experience Required
„Q Post-secondary education preferred.
„Q A minimum of 5 years of administrative experience gained in a professional office environment. Experience working within the healthcare sector is preferred.
„Q Strong organizational and administrative skills. Strong research skills.
„Q Advanced Microsoft Office skills (Word, Excel, PowerPoint).
„Q Superior verbal & written communication skills.
„Q Experience with project coordination.
„Q Flexible and self-directed; ability to function productively in an unstructured & fast-paced environment.
„Q Solid business acumen/analysis skills.
„Q Shows creativity and resourcefulness in finding solutions and tracking down information.
