Position Title: Intake Administrator
Grade C
Incumbent
Reports to Operational Manager of Assessment Services
THOROUGH KNOWLEDGE OF SABS A MUST!!!!!!!!!!!!!
The Referral Co-ordinator is responsible for receiving referrals, confirming receipt of referrals with consultants, as well as required data entry for the referral process for our client's Head Office and Branch Offices.
Job Duties
·Assist in special projects as assigned by Manager
·Data entry of new referrals, update Account Names and Contacts
·Liaising with customers in the taking of referrals
·Provide Director or delegate with referral information in order for them to assign appropriate consultant
·Confirming receipt of new referrals via email to consultants
·Liaising with branch offices/Directors in the assignment of new files
·Data entry of assigned referrals, documentation going to customers, clients, and /or lawyers
·Arrange special services ie: transportation and language translation using varies companies
·Referral faxed to customers, lawyers, doctors and consultants
·Call clients to remind them of upcoming appointment
·Correspond by telephone to medical assessors confirming clients show/no show for appointments
·Appointment cancellations and reschedules
·Adherence to all aspects of our client's Quality Management System and complying with record keeping as required
Special Skills
·Thorough knowledge of Windows 95/98 and Microsoft Office (Excel and Access)
·Ability to work with confidential information
·Excellent customer service skills
·Excellent organizational and time management skills to handle large volumes of work
·Above average communication skills both written and verbal
·Professional attire and manner
·Independent problem solving and creative thinking capabilities

·then the previous IARs per quarter related to incomplete referral forms
·40% of referrals taken on a daily basis
·then the previous IARs per quarter related to accurate assigning of assessors for single assessments for pre-booked timeslots
·Completion of individual daily filing requirements-( measured by log sheet)
·Work Instructions are reviewed and changed if needed each quarter.
·Respond to customer and consultant emails within 8 hour of receipt (provide 5 emails per quarter)
Hours are 8:30 am 5:00 pm Monday to Friday.
